About this policy
Aluna Vet Inc., doing business as Aluna Veterinary Care (“Aluna,” “we,” “us,” or “our”), provides mobile veterinary services and related online tools, including request forms, the Aluna CareHub, and Pet Safety profiles. This policy explains the personal information we collect through our website and online services, how we use it, and the choices available to you.
Information we collect
We collect information you provide when you ask a question, request a visit or consultation, make a payment, communicate with us, create or use a CareHub account, or update a pet profile. Depending on how you use the service, this may include:
- Your name, phone number, email address, service address, and access instructions.
- Information about your pet, including name, species, breed, age or date of birth, sex, weight, behavior, photos, symptoms, concerns, and other details you choose to provide.
- Request, scheduling, appointment, treatment, laboratory, medication, follow-up, and veterinary record information connected with Aluna services.
- Payment amount, payment status, payer contact details, and transaction references. Payment-card details are handled by our payment provider and are not intended to be stored in CareHub.
- Messages, notification preferences, verification activity, and records of actions taken in CareHub.
Information collected automatically
Our website and CareHub use cookies and similar browser storage for essential functions such as sign-in, security, remembering the ZIP code you entered, and preserving the state of a request flow. Our systems may also receive standard technical information such as an IP address, browser or device information, request time, and error or security logs.
How we use information
We use personal information to:
- Review requests, determine service availability, coordinate and provide visits or consultations, and communicate about next steps.
- Maintain household, pet, appointment, treatment, payment, and veterinary records.
- Provide CareHub sign-in, account features, reminders, care summaries, treatment guidance, and customer support.
- Process payments and maintain transaction records.
- Provide address suggestions, maps, routing context, and service-area checks.
- Send verification codes and service-related email or text messages.
- Protect the service, prevent misuse, troubleshoot errors, and maintain audit records.
- Meet legal, regulatory, professional, accounting, and recordkeeping obligations.
Pet Safety profiles
Each eligible CareHub pet may have a Pet Safety page reached through a tag or QR code. When active, that page can be viewed by anyone who has the link or tag identifier. It may show the pet’s name, species, owner-provided photo, owner-approved “if found” instructions, safe-approach notes, tag ID, and the date the details were last reviewed. The owner’s phone number is not shown; people who find the pet are directed to contact Aluna. Pet Safety pages are intended for safety and reunification, not as complete medical records.
How we disclose information
We disclose information only as reasonably needed to operate the service, provide veterinary services, complete a transaction, follow your instructions, or meet legal obligations. Recipients may include:
- Aluna veterinarians, technicians, front-desk staff, and other authorized personnel.
- Technology and operational service providers that support website hosting, data storage and backup, email, text messaging, payment processing, maps and geocoding, scheduling, and practice or clinical record systems.
- Emergency or referral providers when you ask us to coordinate care or when disclosure is otherwise permitted or required.
- Professional advisers, regulators, courts, law enforcement, or other parties when required by law or reasonably necessary to protect rights, safety, and the integrity of the service.
- A successor or transaction participant if Aluna is involved in a merger, financing, reorganization, or sale of all or part of the business, subject to appropriate confidentiality protections.
Current service integrations include Stripe for payment processing, Google Maps Platform for maps, address assistance, and geocoding, and 800.com for text messaging. These providers process information under their own terms and privacy practices.
Text messages and email
We may send one-time verification codes and messages related to a request, appointment, follow-up, treatment plan, reminder, or CareHub account. Message and data rates may apply. Reply STOP to an Aluna text to opt out of text messages. Opting out may limit our ability to send text updates, but it does not prevent you from contacting us or receiving communications that are otherwise required or permitted.
Retention and deletion
We retain information for as long as reasonably necessary to provide services, maintain veterinary and business records, meet legal and professional obligations, resolve disputes, protect the service, and enforce agreements. Retention periods vary by record type. Some records cannot be deleted immediately, including when a required retention period or legal, safety, accounting, or clinical hold applies.
Your choices and requests
You may ask us to provide information about the personal information associated with you, correct inaccurate contact or account information, or review a deletion request. We may need to verify your identity before acting, and some requests may be limited by veterinary-record, transaction, security, legal, or other retention requirements. Additional rights may apply depending on where you live and the law that applies to Aluna.
To make a privacy request, email info@aluna.vet, call or text 888-992-5862, or use our contact form.
Online tracking
The current Aluna website uses essential cookies and browser storage for site functions described above. It is not currently configured with a third-party behavioral-advertising or analytics tracker. Browser “Do Not Track” signals are not a substitute for the service’s essential storage. If Aluna later adds analytics or advertising technologies, this policy and any required privacy controls must be updated before those technologies are enabled.
Security
We use administrative, technical, and organizational safeguards intended to protect information. No website, transmission, or storage system can be guaranteed completely secure. Keep your CareHub access and verification codes private and contact us if you believe your account or information may have been used without permission.
Children
Aluna’s online services are intended for adults arranging veterinary services. They are not directed to children under 13, and we do not knowingly collect personal information online from children under 13.
Changes to this policy
We may update this policy as our services or legal obligations change. We will post the revised policy with a new “Last updated” date and provide additional notice when required.
